When you use BrickMind, we collect:

• –Account information: name, email address, phone number
• –Property details: addresses, unit information, lease terms, rent amounts
• –Tenant information: name, contact details, lease history (added by landlords)
• –Payment information: PayTo agreement details, rent collection records, transaction history
• –Maintenance records: work orders, photos, contractor information
• –Usage data: how you interact with the platform (for improving the service)

2. How We Use It

We use your data solely to provide the BrickMind service:

• –Managing your properties, tenants, and leases
• –Processing rent payments via PayTo
• –Sending notifications (email, SMS) about your properties
• –Generating financial reports and ATO tax documentation
• –Training and improving the AI property management features

We do not sell your data to third parties. We do not use your data for advertising.

3. Who We Share With

We share data only with service providers required to deliver the product:

• –Monoova — PayTo / NPP payment processing (rent collection, disbursements)
• –Resend — transactional email delivery
• –Twilio — SMS notifications
• –Supabase — database hosting (Australian region)
• –Anthropic — AI processing (Claude API) for the AI property management agent
• –Vercel — web hosting and infrastructure

All providers are bound by their respective privacy policies and data processing agreements.

4. Data Retention

Financial records (transactions, receipts, lease agreements) are retained for a minimum of 5 years, as required by the Australian Taxation Office (ATO) for rental property records.

Account data is retained for the duration of your account and up to 12 months after account closure, unless longer retention is required by law.

5. Your Rights

Under the Privacy Act 1988 (Cth) and the Australian Privacy Principles, you have the right to:

• –Access personal information we hold about you
• –Correct inaccurate information
• –Request deletion of your account and associated data (subject to retention obligations)

6. Security

We use industry-standard security measures including encrypted connections (TLS), row-level security on our database, and access controls. Payment data is handled by PCI-compliant providers (Monoova).
